1. Who we are

This privacy notice explains how Bar4Good (“Bar4Good”, “we”, “us”) processes personal data in connection with www.bar4good.com, our membership, donations, events, pop-up bars, sports activities and related communications.

2. Scope

This notice applies to visitors to our website; people who contact us; prospective, current and former members; donors and prospective legacy supporters; event guests and additional guests; volunteers, partners and service providers; and people appearing in photographs or video. Third-party websites and services linked from our pages are governed by their own privacy notices.

3. Personal data we process

  • Contact and identity data:
    name, email address, telephone number, organisation, postal address and correspondence.
  • Membership data:
    membership tier, representatives, voting/participation records, voluntary contribution, public-anonymity preference and related administration.
  • Event and enquiry data:
    preferred event/date, attendance, additional guest names/count, venue, programme preferences, comments and service requests.
  • Dietary and accessibility information:
    allergies, intolerances or other needs that you choose to provide. Such information may reveal sensitive health data and is restricted to people who need it for safe delivery.
  • Donation and payment data:
    payment amount, purpose, date, method, transaction reference and information required for accounting, audit, fraud prevention or legal compliance. Card/bank credentials may be processed directly by the relevant payment provider rather than Bar4Good.
  • Donor and beneficiary data:
    name, email address, telephone number, organisation, postal address and correspondance.
  • Marketing preferences:
    whether, when and how you consented, topics selected, messages sent and withdrawal/opt-out records.
  • Photographs, video and audio:
    event images and recordings, captions, publication context and consent/objection records.
  • Technical data:
    IP address, date/time, requested page, referrer, browser, device/operating-system information, cookie identifiers and security logs.
  • Partner/volunteer data:
    role, biography, photograph, availability, professional contact details and information required to coordinate activities.

4. How we obtain personal data

We obtain data directly from you through forms, emails, membership and event interactions, payments and consent choices. We may also receive information from a person registering an additional guest, an event host, a partner or service provider, publicly available sources, or technical systems used to operate the website. If another person gives us your details, we ask them to ensure that you are informed and authorised where necessary.

5. Purposes of processing

  • Operate, secure, troubleshoot and improve the website and protect it from misuse.
  • Answer enquiries, prepare proposals and organise private pop-up bars, Team Days, sports activities and community events.
  • Administer membership, voting rights, benefits, contributions and General Assembly communications.
  • Process donations, payments, refunds, event tickets and accounting/audit obligations.
  • Plan safe catering, sport activities, team events, accessibility and responsible event delivery.
  • Manage volunteers, partners, venues, transport, speakers and service providers.
  • Document and communicate Bar4Good’s activities, impact and community through approved photographs, video and stories.
  • Send newsletters or promotional information only where permitted and provide an easy opt-out in every message.
  • Establish, exercise or defend legal claims and comply with applicable law, authority requests and association-governance obligations.

6. Justification and consent

Swiss data protection law requires processing to be lawful, proportionate, transparent and compatible with the stated purpose. Depending on the activity, we process data to take steps requested by you or perform an agreement, comply with legal obligations, pursue legitimate overriding interests such as secure event and association administration, or on the basis of consent. Where consent is required, it is voluntary, specific and informed and may be withdrawn for the future at any time. Refusing optional marketing consent does not prevent an event registration, enquiry or membership application.

7. Forms and just-in-time information

Fields marked optional are genuinely optional. Marketing consent is presented separately and is not preselected. Food-allergy or health-related information is requested only where necessary for a specific event and is deleted promptly after the event unless an incident or legal obligation requires retention.

8. Cookies and similar technologies

Our website may use cookies, local storage, pixels or similar technologies. Strictly necessary technologies support security, navigation, form delivery and user choices. Preference technologies remember selected settings. Analytics technologies help us understand aggregate use. Marketing or third-party technologies may enable profiling or personalised advertising.

We will maintain a current cookie table stating name, provider, purpose, category, duration and country. Non-essential technologies will be activated only where the applicable rules and risk level allow it, and a consent tool will offer equally accessible Accept, Reject and Settings choices.

Processors act under appropriate contractual and confidentiality obligations. Some providers also act as independent controllers for their own payment, account, security or compliance purposes; their notices apply to that processing.

10. International disclosures

Some providers or their sub-processors may process personal data outside Switzerland, including the United States and EU/EEA states. We disclose data abroad only where Swiss requirements are satisfied. Depending on the destination, protection may follow from an adequacy decision, recognised standard contractual clauses with Swiss adaptations, binding corporate rules, another recognised safeguard or a statutory exception. We also assess whether supplementary technical or organisational measures are needed. You may contact us for information about relevant countries and safeguards.

11. Photographs, video and the right to one’s image

Recognisable images are personal data. For individual portraits, promotional photography and photographs of minors, we normally obtain specific informed consent before publication. For group and public-event photography, we provide clear advance signage and a contact channel and assess whether consent or another overriding interest is appropriate. People may ask us not to photograph them or request review/removal of a published image. Consent may be withdrawn for future use, subject to legal limits and material already irreversibly distributed.

12. AI-modified or AI-generated text and images

Some text and illustrations on our website were generated or materially modified using artificial intelligence.

AI generated or materially modified images are illustrative and must not be understood as documentary photographs of actual beneficiaries, events, team members or partners unless expressly stated. This applies in particular to the images displayed on the following webpages:

We do not intentionally use an identifiable real person’s image, voice or personal data to create or manipulate AI content without an appropriate legal basis and, where required, consent. We maintain an internal record of the tool, source material, licence/permission and publication context. If you believe an AI-generated or modified image depicts you or misuses your personal data, contact us by email: [email protected] so that we can investigate and, where appropriate, remove or correct it promptly.

13. Children and young people

Our charitable work may involve children and young people. We apply heightened safeguards to their data and images. We avoid unnecessary identification, do not publish sensitive background information without a compelling and lawful reason, and obtain parent/guardian consent where required.

A child’s dignity, safety and evolving ability to express a view are considered independently of promotional value. We do not knowingly collect website-form data directly from young children without appropriate involvement of a parent or guardian.

14. Marketing communications

We send marketing or promotional messages only where permitted. Consent is separate from event attendance, membership administration and service enquiries. Every marketing email includes an unsubscribe option. Withdrawal does not affect processing that occurred before withdrawal. We may keep a minimal suppression record so that we do not contact you again against your wishes.

15. Automated decisions and profiling

We do not currently make decisions that have legal or similarly significant effects on individuals solely by automated means. We do not currently conduct high-risk profiling. If this changes, we will update this notice in advance and provide the information and safeguards required by Swiss law, including human review where applicable.

16. Retention

We retain personal data only for as long as required for the stated purpose, an applicable agreement, association administration, accounting/audit obligations, security, consent evidence or legal claims. Event allergies should normally be deleted within 30 days after the event; event enquiries and RSVP data should be reviewed after 12–24 months; marketing data is kept until withdrawal; and legally required accounting records are retained for ten years from the end of the relevant financial year. We anonymise or securely delete data when it is no longer needed.

17. Security

We use appropriate technical and organisational measures proportionate to the risk, including access controls, role-based permissions, secure transmission, strong authentication, backups, update management, confidentiality instructions, processor due diligence and incident procedures. No internet transmission or storage system can be guaranteed completely secure. If a breach is likely to create a high risk, we will notify the Swiss Federal Data Protection and Information Commissioner (FDPIC) as required and inform affected individuals where necessary for their protection.

18. Your rights

Subject to applicable conditions and exceptions, you may ask whether we process your personal data and request access, correction, deletion or destruction, restriction or cessation of unlawful processing, withdrawal of consent and—where the statutory requirements are met—data portability. You may object to a specific use, including marketing, and request human review of an automated individual decision if one is introduced.

We may verify your identity. Information is generally provided free of charge and within 30 days under Swiss law, subject to lawful exceptions.

19. Changes to this notice
